2. Information we collect
When you complete our nursery visit enquiry form, we collect information you provide, which may include:
- Parent or guardian's name
- Email address
- Telephone number, if provided
- Child's age range
- Preferred start month and attendance days
- Your enquiry or message
We may also receive information when you telephone or email us directly.
Please avoid including medical information, safeguarding concerns, children's full names or other sensitive personal details in the website enquiry form.
3. How we use your information
We use enquiry information to:
- Respond to questions about Honey Pots Childcare
- Arrange nursery visits
- Discuss childcare availability and preferred sessions
- Explain fees and funded childcare arrangements
- Follow up on your enquiry where appropriate
We do not use website enquiry information to send unrelated marketing emails.
4. Our lawful basis
We use personal information to respond to enquiries made by prospective families.
Our lawful basis for ordinary initial enquiries is legitimate interests, under Article 6(1)(f) of the UK GDPR.
Our legitimate interest is responding to families who request information about our nursery and managing those enquiries appropriately.
Where a parent asks us to take specific steps towards entering a childcare agreement, processing may instead be necessary to take steps before entering into a contract under Article 6(1)(b).
We use only information reasonably necessary for these purposes.
5. Website hosting and enquiry processing
Our website is hosted by Netlify.
When you submit an online enquiry, Netlify Forms processes and stores the submission so that Honey Pots Childcare can respond.
A notification is also sent to the nursery's Hotmail email address, which is provided through Microsoft.
Access to website enquiry information is restricted to the nursery owner and the authorised website administrator, according to their respective responsibilities. The website administrator manages the website, Netlify account, hosting and technical maintenance, including access to website enquiry submissions. The nursery owner manages the nursery's Hotmail inbox, parent enquiries and childcare bookings. Our technology providers may process this information in providing their services.
We do not sell enquiry information to third parties.
We may disclose information where we are legally required to do so.
6. International data processing
Our website hosting and email providers may process information outside the United Kingdom.
Where this involves a restricted international transfer of personal information, appropriate safeguards must apply under UK data protection law.
Information about applicable safeguards can be requested by contacting Honey Pots using the email address above.
7. How long we keep your information
Website enquiries that do not progress to an ongoing booking discussion are retained for six months, after which they are deleted from the nursery's enquiry records, unless there is a lawful reason to retain them longer.
Where an enquiry progresses to an active booking discussion, relevant information is kept while that discussion remains active and reviewed when it concludes.
If a child subsequently registers at Honey Pots, relevant information may be transferred into the nursery's formal childcare records, which are subject to separate retention requirements.
The nursery applies its retention arrangements to both Netlify submissions and corresponding email records, subject to any applicable legal obligations or provider backup retention.
8. Protecting personal information
We take appropriate measures to protect information from unauthorised access, disclosure, accidental loss or misuse.
Access to website enquiry information is restricted to the nursery owner and the authorised website administrator, according to their respective responsibilities.
Our website and email providers also maintain security arrangements for their services.
9. Your data protection rights
Depending on the circumstances, you have rights under UK data protection law, including the right to:
- Request access to your personal information
- Request correction of inaccurate information
- Request deletion of information in certain circumstances
- Ask for processing to be restricted
- Object to processing based on legitimate interests
- Request data portability where applicable
You have the right to object to processing based on legitimate interests.

honeypotschildcare@hotmail.co.uk
We will respond in accordance with applicable data protection legislation.

11. Making an enquiry
You are not required by law to provide information through our website enquiry form.
However, we need your name and contact details to respond to an online enquiry.
Submitting an enquiry does not guarantee a nursery visit or childcare place. Our team will contact you to discuss arrangements.
We do not use information from the enquiry form to make solely automated decisions about nursery admissions.
